Your Photographer’s Guide to Stress-Free Planning

I’ve been capturing love stories for 16 years, and the biggest stressor I see for couples isn’t the budget or the guest list—it’s the timing. “Are we too late to book a venue?” “When should we get the invitations out?” “Is it too early to find a band?”

These are the questions that can keep you up at night. But I’m here to pull back the curtain on the wedding industry and give you the inside scoop. Think of this as your master checklist for your fun-filled wedding day.

Let’s get one thing straight: the sooner, the better. The most sought-after vendors—your dream venue, your must-have photographer (hint, hint 😉)—often get booked out one to two years in advance and September/October are the busiest of months.

So, take a deep breath and let’s create the perfect timeline for your day.

The Wedding Vendor Booking Timeline: Your Perfect-Day Blueprint

18-24+ Months Out: Laying the Foundation

This is the “dreaming” phase. The earlier you start, the more options and flexibility you’ll have. This is the perfect time to:

  • Set Your Budget: This is your North Star. Before you talk to any vendors, you need to know how much you’re willing to spend.
  • Draft Your Guest List: Your guest count dictates your venue size and food and beverage costs, which are typically the largest chunks of your budget.
  • Book Your Wedding Planner (Full-Service): If you know you want a professional by your side from start to finish, book them now. They are your secret weapon for making this whole process easy.

12-18 Months Out: Securing the Big Three

This is the most critical window. The biggest pieces of your wedding puzzle should be secured during this time.

  • Book Your Venue: This is the big one. Your venue sets your date and the overall vibe of your wedding. It is common for popular venues to book up to two years in advance. You cannot officially book other vendors until you have a confirmed date and location.
  • Book Your Wedding Photographer & Videographer: I cannot stress this enough—book your photographer as soon as you have your venue secured. Photography is usually one of the first vendors to get booked after the venue. There’s only one of me, and once my calendar for a specific date is full, it’s full. (And you want me there to capture every single tear and laugh, right?)
  • Book Your Caterer & Bar Service: If your venue doesn’t provide this, find a caterer you love. Good food is memorable. Popular caterers book up quickly, especially for peak season dates.

9-12 Months Out: Setting the Stage

You’ve got your date, your place, and your photographer. Now, let’s start filling in the details.

  • Book Your Wedding Dress or Attire: Trust me, this takes longer than you think. From finding “the one” to alterations, it can be a 6-9 month process.
  • Book Your DJ or Band: A good band or DJ makes the party. The best ones are often booked a year in advance.
  • Book Your Wedding Officiant: This is the person who will actually marry you. Don’t wait until the last minute.
  • Create Your Wedding Website & Send Save-the-Dates: This is your first official communication with your guests. It’s especially important for destination weddings or if you have a lot of guests traveling.
  • Book Your Florist: Great florists can only take a limited number of weddings per weekend.

6-9 Months Out: Nailing Down the Details

This is when you add your personal style.

  • Order Bridesmaid Dresses & Groomsmen Attire: These also need time for shipping and alterations.
  • Book Your Cake Baker or Dessert Vendor: Don’t forget the tasty treats!
  • Book Your Hair & Makeup Artists: It is crucial to have a trial with them now so you can book them for your date. They are in high demand, especially the good ones!
  • Book Your Transportation: For the wedding party, and/or your guests.
  • Book Your Lighting & Decor Company: If you are renting tables, chairs, arches, or specific lighting installations.
  • Book Your Hotel Room Blocks: Ensure your out-of-town guests have a place to stay.

4-6 Months Out: Crossing Your T’s and Dotting Your I’s

You’re getting closer! This is the time to check things off your list.

  • Buy Your Wedding Rings: Give yourselves time for resizing or custom work.
  • Book Your Rehearsal Dinner & Morning-After Brunch Locations: These get busy, too!
  • Order or Hire a Stationer for Your Wedding Invitations: They should be ready to send out soon.
  • Finalize Your Groomsmen’s Attire (Rentals): If you are renting.
  • Plan Your Honeymoon: The sooner you book, the better deals you can find.

2-3 Months Out: Finalizing and Sending

Send Out Your Wedding Invitations: They should be mailed 8-10 weeks before your wedding.

Book Your Day-of-Coordinator (if you haven’t yet): If you didn’t get a full-service planner, this is your savior. They take over all the details in the final months.

Apply for Your Marriage License: Every location has different rules. Research yours now and know the timeline.

Plan Your Bachelor/Bachelorette Parties & Wedding Showers.

Hair & Makeup Trials: If you didn’t do this earlier, do it now.

1-2 Months Out: The Final Logistics

The home stretch!

  • Submit Your Final Guest Count to Your Venue & Caterer.
  • Create Your Full Wedding Day Timeline: Your planner or photographer (me!) will help you with this. This is your bible for the day.
  • Finalize Your Song List with Your DJ or Band: For special dances, “must-plays,” and “do-not-plays.”
  • Finalize Your Shot List with Your Photographer (and Videographer): Tell me which family combinations are essential and what moments you are most excited about.
  • Order Wedding Favors & Gifts: For your wedding party, parents, and each other.

1-2 Weeks Before: The Finishing Touches

Finally there! This is about checking and double-checking.

  • Pick Up or Try On Your Final Wedding Attire: Have your dress pressed and ready to go.
  • Follow Up with Any Non-RSVPing Guests.
  • Get Your Marriage License: If you haven’t already.
  • Pack for Your Wedding Night and Honeymoon.
  • Assign Tasks: Ask your wedding party or family to help with specific duties (like collecting gifts or checking in on vendors).
  • Final Vendor Confirmations: Double-check times and locations with every single vendor.
  • Prepare Tips & Final Payments: Have them ready in labeled envelopes.
The Most Important Thing of All

Now, I know that list looks long, but it’s just to keep you organized. Don’t feel you need to do everything yourself. This is your journey, and you can delegate and ask for help.

And here’s my final, from-the-heart advice as your photographer: while the planning is important, don’t let it eclipse your relationship. This is about you, the two of you, and your promises to each other.

Your wedding day will fly by in a blur of love, joy, and probably a few hiccups (which always make for the best stories later). Your job on that day is to be present, to soak in every moment, and to focus on the person at the other end of the aisle.
